GRANT & SALARY AWARD PROCESS

DEPARTMENT SPECIFIC PROCEDURE

All research grant applications and project proposals must be accompanied by a Research Project Information Form (RPIF). On the form, the Department Head must be listed as a signee and the form itself must be submitted to allison.rintoul@ubc.ca two weeks before the deadline date.

The documents required at the signature stage depend on the type of funding you are applying for. To avoid delays, please ensure that you include the necessary documents. Some funding opportunities may require additional documents; please see the section on Agency-Specific Procedures for details.

Important Dates  
February 8, 2023 Register for Project Grant via ResearchNet.
Check with your Department/School Application package sent to Department Head/School Director office for review & approval. See below for application package details.
March 1, 2023 Application package sent to Dean’s Office or affiliated hospital research office via email for review & approval (FoM Internal Deadline).
March 2, 2023 Application package approved by Faculty, and forwarded to ORS (UBC Internal Deadline).
March 7, 2023 | 12pm Applicant submits application on ResearchNet (Applicant e-Submission Deadline).
March 8, 2023 | 4:30pm ORS approves application on ResearchNet (CIHR Application Deadline).

Procedure:

For the CIHR Spring 2023 Project Grant competition, the Faculty of Medicine (FoM) has agreed with the Office of Research Services (ORS) on the following procedures/timelines:

  1. Your application package must be submitted to the Dean’s Office or affiliated hospital research office by Wednesday, March 1, 2023 for Faculty approval. Please send it via email to the Faculty signature contact for your site. Note that Evelyn (fom.grantapprovals@ubc.ca) is the contact for Faculty approval for those located at the UBC Point Grey campus. See below for a complete list of the required items.
  2. After Faculty approval, your application package will be forwarded to ORS.
  3. Your application must be submitted via ResearchNet no later than 12pm on Tuesday, March 7, 2023.
  4. ORS will electronically approve your application via ResearchNet for submission to CIHR.

Please remember that you can continue working on your research proposal up until you submit on ResearchNet on March 7th, even after you have submitted your application package for Faculty approval.

To avoid system issues which may cause delay in the submission process on the deadline day, you are highly encouraged to submit early. While ORS makes best efforts to submit all applications on time and to facilitate support for our research community, application packages submitted for Faculty approval after March 1st may not receive a guarantee of administrative review from ORS which includes confirmation of application completeness.

Required Documents:

Required Documents to be submitted to the FoM for the CIHR Spring 2023 Project Grant competition:

  1. Completed Research Project Information Form including the following signatures:
    1. the Principal Investigator
    2. Department Head or School Director
    3. Research Centre Director (if using research space within a Senate-Approved Research Centre, identified with an asterisk on the Academic & Research Units page)
    4. Life Sciences Institute Director (if using research space within the Life Sciences Building, but excludes researchers using space within the Centre for Blood Research)
  2. Complete application, including the following sections:
    1. CIHR ‘Application Details’ page (download from ResearchNet under “Preview application materials” task)
    2. Complete Summary’ page
    3. Other Applicants’ pages, if applicable
    4. Budget Request’ module, including written justifications and quotes, where applicable
    5. Partner Budget Details’ page, if applicable
    6. Signed letter(s) of support from Partners (cash or in-kind), if applicable

MICHAEL SMITH HEALTH RESEARCH BC (MSHR)

Important Dates  
December 5, 2022 Register to apply for Scholar Award (Letter of Intent Deadline).

January 17, 2023 Application package sent to Dean’s Office at UBC Point Grey campus, via email, for review & approval (FoM Internal Deadline).
January 30, 2023 | 4:30pm Applicant submits application on ApplyNet (Applicant’s e-Submission Deadline).

Procedure:

  1. For the MSHRBC full application, the Dean’s ApplyNet system account email is fomdean.msfhr@ubc.ca. Please check with your UBC Department Head/School Director for their ApplyNet system account email address.
  2. Check with your Department/School for its internal deadline for the review of your MSHRBC Scholar Award application. See below for a list of the required items.
  3. Your application package must be sent via email to fom.grantapprovals@ubc.ca by January 17, 2023.
  4. The UBC Dean and UBC Department Head/School Director will strive to submit their forms on ApplyNet by January 27th. Do not submit the Department Head form on ApplyNet until you hear from Bryan Wong.
  5. Submit your application on ApplyNet by 4:30pm on January 30, 2022.
  6. ORS will approve your application on ApplyNet for submission to MSHRBC.

Please remember that you can continue working on your research proposal up until you submit on ApplyNet on January 30th, even after you have submitted your application package for review.

Required Documents:

A complete application package consists of the following items:

  1. Research Project Information Form, signed by the UBC Department Head or School Director. UBC Centre Director signature is also required if the applicant will be using research space within a Centre.
  2. Request for Dean’s Approval Form, signed by the UBC Department Head or School Director, and Centre Director if applicable.
  3. First few pages from MSHRBC Full Application, up to and including Project Summary page.
  4. Department Head form in MS Word format (please use template, see “Dean and Department Head Forms” section).
  5. Sponsor letter, if applicable (see Sponsor Letter” section for details)
  6. Letter of collaboration (if applicable).
  7. Mitacs Accelerate proposal application part 1 (if applicable).

Please note that unlike previous years, the Dean’s Form is not required as part of your application package and will be the responsibility of the Dean’s Office.

Dean and Department Head Forms:

MSHRBC requires the completion of the Dean and Department Head forms online to support each application. The Dean’s form will be completed by the Dean’s Office. Applicants are asked to draft the Department Head form, and then send to their UBC Department Head and UBC Dean for review. We highly recommend that Department/School administrators and HR staff are involved with the completion and review of this form to ensure the accuracy of the details provided within.
Please use the following template for the Department Head form:

The Dean’s Office reserves the right to request changes on this form. Changes will be communicated to the applicant and Department/School if applicable. Bryan Wong will inform the UBC Department Head/School Director once the Dean’s Office has approved the Department Head form so that the template version can be signed, and the online form can be submitted on ApplyNet.
Do not submit the Department Head form on ApplyNet until instructed to do so.

Sponsor Letter:

Partner and Clinical faculty applicants have an appointment at UBC, but may be employees of (i.e. paid by) another institution. In such cases, the applicant is required to obtain a letter from their employer, addressed to their UBC Department Head/School Director, to be included in the application package for Departmental and Faculty approval. This sponsor letter should address the following:

  1. Required – Confirmation of 75% of the applicant’s time protected for research activities
  2. If applicable – Other responsibilities of the applicant (teaching, clinical service, administrative work, corporate involvement, etc.)
  3. If applicable – Applicant’s contributions (current or potential contribution to the department and the host institution)
  4. If applicable – Available resources to the applicant (sources of salary support, infrastructure support, other start-up support)

In any case, if the UBC Department Head/School Director has the authority to comment on items 1-4 above, then the sponsor letter will not be required.

The Faculty of Medicine receives a significant amount of research funding from the agencies listed below. Please be sure to check the Agency-Specific Procedures section to see if the Faculty of Medicine has specific procedures and/or eligibility criteria.

CIHR

The Canadian Institutes of Health Research (CIHR) is the Government of Canada’s health research investment agency.  CIHR’s mandate is to “excel, according to internationally accepted standards of scientific excellence, in the creation of new knowledge and its translation into improved health for Canadians, more effective health services and products and a strengthened Canadian health care system.

NSERC

The Natural Sciences and Engineering Research Council of Canada (NSERC) invests in people, discovery and innovation to increase Canada’s scientific and technological capabilities. NSERC supports postsecondary students and postdoctoral fellows in their advanced studies, promotes discovery by funding research conducted by professors, and fosters innovation by encouraging Canadian companies to participate and invest in postsecondary research and training.

SSHRC

The Social Sciences and Humanities Research Council of Canada (SSHRC) is the federal research funding agency that promotes and supports postsecondary-based research and research training in the humanities and social sciences. SSHRC supports research and talent that are central to quality of life and innovation.

Multi-agency Research Collaboration

SSHRC, NSERC, CIHR and the Canada Foundation for Innovation (CFI) are working to enhance the co-ordination of their programs, activities and policies. Applicants to any of SSHRC’s grant or scholarship funding opportunities may collaborate with researchers working in fields other than the social sciences and humanities. ELIGIBLITY

An applicant is eligible to apply to a granting agency if he/she meets the funding opportunity’s eligibility criteria. However, UBC’s Policy LR2 states that the following UBC persons are eligible to be PG account holders:

  • UBC Persons who have a tenure stream faculty appointment as:

    1. Professor
    2. Associate Professor
    3. Assistant Professor
    4. Instructor
    5. Senior Instructor
    6. Professor of Teaching
    7. comparable Emeritus Status
  • UBC Persons who have one of the following faculty term appointments without review and also have the prior written approval of both the appropriate Department Head and Dean:

    1. Professor
    2. Associate Professor
    3. Assistant Professor
    4. Instructor
    5. Senior Instructor
    6. Professor of Teaching
    7. Adjunct Professor
    8. Clinical
    9. Honorary
    10. Research Associate
  • Post-Doctoral Fellows solely where the Funding Terms for a research project specifically require it and they have the prior written approval of both the appropriate Department Head and Dean.

A Research Project Information Form signed by the appropriate individuals will be accepted as “written approval”.

Accounts will not be granted to students or visitors. UBC Persons with positions not addressed above will require the written approval of their Department Head, Dean, and the Provost.

An external salary award is defined as a competitive, peer-reviewed award that is offered by research institutes, provincial, national, or international agencies and is paid as salary to the awardee/faculty member. Applications for such awards are normally supported by the Faculty, are an important part of the planning process of the Faculty, and must be approved by the Department Head/School Director and the Dean. External salary awards, such as new investigator awards, from organizations including Michael Smith Foundation for Health Research (MSFHR), Canadian Institutes of Health Research (CIHR), as well as Canada Research Chairs, carry with them explicit understanding that the individual will devote 60-80% of their time to research which may impact their contribution to educational, administrative and clinical roles.

  • Assistant Professors, Associate Professors and Professors in tenure track or grant tenure track appointments are eligible to apply for external salary awards.
  • Assistant Professors, Associate Professors and Professors in partner or clinical appointments may be eligible to apply for external salary awards. Please contact the FoM at fom.grantapprovals@ubc.ca to verify your eligibility.
